Each parking space holds a car, van, or truck type vehicle. If you are hauling a trailer, it would require an additional space. Please keep this in mind when indicating how many overnight parking spaces you request. Designated overnight parking spots will be located away from the building. No RV parking is available. Arrival Time - I expect to arrive on Thursday, January 21 at: *The Recreation Centers will be available to vendors starting on Thursday, January 21, 2027, from 12:00 noon to 7:00 PM for set-up. Volunteers will be available at the Vendor Check In tables at both Rohan and Seabreeze Rec Center lobbies from 12 noon until 5 pm.Conditions: Please read and check each box to acknowledge the conditions of this vendor application/contract and confirm your compliance thereof: *1. Reservations with deposit will be accepted on a first-come, first served basis. Reservation deposits of $500 are due by August 31, 2026. Early application is essential to ensure the best possible chance of securing a space.2. Remaining balance is due no later than October 15, 2026. Invoices for online payment of remaining balance including service fee will be sent out on November 1, 2026 for any outstanding contracts.3. In the event of cancellation, the deposit will only be refunded if an acceptable alternate vendor can be arranged by either the vendor or by selecting someone on our waiting list. (Showcase 2027 Committee makes final determination of acceptability of vendor.) No refunds will be issued after November 15, 2026.4. Vendor agrees to post event information on Vendor’s website, in Vendor’s Newsletter, on Vendor’s Facebook, Instagram and/or X account, if Vendor has and/or subscribes to these.5. Vendor agrees to begin tear-down on Saturday, January 23, 2027, no earlier than 4:00 PM.6. The vendor is solely responsible for paying any required state and/or local taxes and for filing any required documents.7. Vendor is responsible for removing all waste, trash and other debris from booth and Recreation Center during set-up, at the end of each show day and at tear-down. Waste, trash and debris SHOULD NOT be put into Rec Center trash receptacles or left in Rec Center Hallways. Trash bins will NOT be available in your booth - please provide your own.8. Vendor should have personal equipment to move product between vehicle and Recreation Center booth location during set-up and take down.9. Vendor agrees to indemnify and hold harmless the Quilting Guild of The Villages, The Villages of Lake Sumter, Inc., The Villages Community Development Districts, and The Villages Homeowners Association against all loss, liability, theft, damage and expense of whatever nature, arising out of or relating to participation in Showcase 2027, including set-up or take-down on all days of the exposition.10.
